We are looking for a highly organized and customer-focused Training Reception & Bookings Administrator to join our Training Department.
This role is crucial in ensuring the smooth operation of our training services by handling customer enquiries, scheduling training sessions, and managing bookings efficiently.
The ideal candidate will have a strong background in customer service, excellent administrative skills, and the ability to work in a fast-paced environment.
Customer Service & Enquiries:
- Act as the first point of contact for training enquiries via phone, email, and in-person.
You must provide professional and friendly customer service, ensuring all queries are handled promptly and efficiently.
- Maintain clear and consistent communication with customers regarding training schedules, rescheduling, cancellations, and test bookings. As well as handling customer complaints or concerns in a professional manner, working towards quick and effective resolutions.
Training Bookings & Scheduling:
- Book customers into appropriate training sessions based on availability and requirements. Reschedule/cancel training sessions when necessary, coordinating with both customers and instructors.
- Liaise with the DVSA to book test slots for customers.
Administrative Duties:
- Maintain and organize digital records of training schedules, bookings, and customer interactions.
- Collaborate with the wider team to ensure seamless operations within the department.
- Ensure compliance with company policies and industry regulations related to training bookings and scheduling.
- Proven experience in a customer service or administrative role.
- Strong organizational and time management skills, with the ability to work under pressure and meet deadlines.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Excellent communication skills, both written and verbal.
- A proactive and adaptable mindset, willing to learn and implement new skills.
- Ability to work collaboratively within a team to achieve department goals.
Experience working in a fast-paced environment where multi-tasking and problem-solving are required.
Previous experience working with Dealer Management Systems (DMS) or other business management software.
Understanding of the motor industry or training services (preferred but not essential).
